The paperwork tax

The duty is real. The paperwork is a nightmare.

Where is the log?

Monthly temperatures and weekly flushing live in a paper book or a fragile spreadsheet. When an inspector asks, it turns into a scramble through a folder no one has touched in months.

“Does anyone know a good template to download and follow?”

Am I even doing it right?

The guidance is dense and the duty is easy to misjudge. You are never quite sure what ACoP L8 and HSG274 actually require, or how often, or for how long to keep it.

“I've been told it's now compulsory. Any advice on how to do this without getting fleeced?”

The consultant bill

A one-off risk assessment runs about £75 to £200, and you still have no ongoing log between visits. The recurring monthly and weekly checks are left to you anyway.

“This sounds like a scare story from people offering to perform tests and making money.”

Three steps

Set it up once. It runs itself.

Step 01

Build your outlet register

Add your sentinel hot and cold outlets and any little-used outlets once. This is the backbone every check hangs off, and you only do it a single time.

Step 02

AquaLog schedules and reminds you

Monthly temperature checks, weekly flushing tasks, and your annual risk-assessment review appear automatically, with reminders so nothing lapses.

Step 03

Produce your audit PDF on demand

One tap generates a branded, date-stamped record set covering temperatures, flushing, and review, ready for CQC, HSE, or your insurer.

What you get

Everything a single-site duty-holder needs, nothing they do not.

The monthly and weekly checks, scheduled and chased for you.

Tell AquaLog your outlets once. It lays out every monthly sentinel temperature, weekly flush, and the annual review, then reminds you before each is due.

  • Auto-scheduled from your outlet register

Record a reading and AquaLog flags it against the threshold.

Enter the temperature from your own thermometer. AquaLog compares it to the sentinel target and marks it compliant or flags it, so a cold outlet running warm never slips past unnoticed.

Your outlet register, temperature history, flushing log, and annual review, assembled into a branded, date-stamped PDF. No formatting, no folder, no scramble.

Designed around the actual guidance

What the law expects, in plain English.

AquaLog is built around the record-keeping the ACoP L8 Approved Code of Practice and HSG274 expect.

Monthly sentinel temperatures

Hot and cold readings at the outlets that represent your system, logged every month against the right target.

Weekly flushing

Little-used outlets flushed and recorded each week, exactly where legionella risk tends to build.

Annual review

A yearly prompt to review your risk assessment, so the duty never quietly lapses.

Multi-year retention

Records kept for five years and exportable anytime, ready for HSE, CQC, or an insurer.

AquaLog keeps and produces your records. It does not replace a competent person's risk assessment where one is required. It makes the ongoing logging effortless.

FAQ

Questions you probably have.

Is AquaLog compliant with ACoP L8 and HSG274?
It is built around the record-keeping that guidance expects: monthly sentinel temperatures, weekly flushing of little-used outlets, an annual review, and multi-year retention. It keeps and produces those records. It does not replace a competent person's risk assessment where one is required.
Do I need any hardware or sensors?
No. AquaLog is software only. You record readings from your own thermometer on your phone or computer. There is nothing to install on site.
What happens when CQC or HSE asks for my records?
You produce a branded, date-stamped audit PDF in one tap, covering your outlet register, temperature history, flushing log, and annual review. No searching through a paper folder.
Can I use it for more than one site?
AquaLog is priced and built for a single site, which is the duty-holder it is for. If you run several sites, get in touch when you join and we will talk through it.
Do I still need a consultant?
AquaLog handles the ongoing logbook: the monthly and weekly checks, the reminders, and the audit record. Where your situation needs a formal risk assessment by a competent person, that is separate, and AquaLog keeps the records around it.
How long are my records kept?
Five years, retained securely and exportable at any time, so you always have the history an inspector or insurer may ask for.
I run a dental practice or a gym, not a care home. Does it still fit?
Yes. The same water-hygiene duty applies across workplaces. AquaLog is built for any single-site duty-holder, with the care-home, dental, and gym cases all in mind.
Is my data secure and can I export it?
Your records are yours. They are stored securely and you can export them at any time, including the full audit PDF.

"The duty is non-negotiable, but the admin around it is broken. I am building the logbook I would want if the inspection were mine, with the duty-holders who live it. Get on the list and tell me where it hurts. I read every reply."
